The Role 

Are you ready to take on an exciting opportunity as an Order Fulfilment Administrator? Join our small, friendly order processing team at iTS, an international software company based in Harrow, London. This is a fast-paced role, ideal for someone enthusiastic and detail-oriented, looking to contribute to the Sales Order Processing and Renewals Department. 

As an Order Fulfilment Administrator, you will manage the end-to-end sales order processing, including hardware/software provisioning for end customers, stock control, and coordination with suppliers. You will be responsible for ensuring smooth operations and timely deliveries while maintaining the accuracy of inventory systems. 

Job Responsibilities 

  • Customer Queries Management: Handle incoming queries by phone, email, and online helpdesk (Freshdesk) to provide efficient customer support. 
  • Order Processing: Process customer software and hardware orders, ensuring accurate and timely order fulfilment. 
  • Order Preparation and Shipping: Prepare orders for delivery or collection, including loading, packing, labeling, and arranging for courier services. 
  • Returns Management: Manage customer returns (RMAs) and ensure proper follow-up on all returns. 
  • Inventory Control: Monitor stock levels and update inventory systems to maintain optimal stock availability. 
  • Documentation and CRM Updates: Keep accurate records in the company CRM, ensuring all customer interactions and actions are up to date. 
  • Stock Handling: Receive and process stock products, including unloading, scanning, and organizing inventory. 
  • Supplier Coordination: Place orders with suppliers for stock replenishment as needed. 
  • Hardware Handling: Inspect, test, and configure hardware items, ensuring all goods meet quality standards. 
  • Workplace Safety and Efficiency: Maintain a clean and safe working environment, optimizing space utilization and ensuring compliance with safety standards. 
  • General Administration: Assist with various administrative tasks to support the team and broader company initiatives. 

You may also be required to support other tasks and attend exhibitions or training events across the UK to help develop your skills and the company's capabilities. 

Required Skills and Experience 

  • Order Processing Experience: Previous experience in order processing and stock control is essential. 
  • Communication Skills: Excellent communicator with a strong telephone manner. High proficiency in spoken and written English is required. 
  • Team Player and Independent Worker: Able to work both independently and collaboratively within a small team. 
  • Multitasking and Prioritization: Ability to manage multiple tasks, prioritize effectively, and meet deadlines. 
  • Self-Learning and Problem Solving: Quick learner with the ability to resolve issues independently and think creatively to find solutions. 
  • Attention to Detail: Strong organizational skills, good memory, and a high level of attention to detail. 
  • Customer-Focused Experience: At least one year of experience in a customer-focused role is required. 

Desirable Skills 

  • Advanced Microsoft Office Skills: Familiarity with Excel and other MS Office tools is a plus. 
  • Hardware Experience: Experience in print and copy management hardware is an advantage but not essential.
