The Role

Are you ready to take on an exciting opportunity as a Sales Order Processing Administrator? Join our small and friendly order processing team at iTS, a progressive international software company based in Harrow, London. This is a fast-paced role, ideal for someone enthusiastic, detail-oriented, and eager to provide high-quality sales support.

As a SOP Administrator, you will provide essential support to our worldwide sales team, resellers, and customers across the UK, Europe, and the USA. This role involves managing the end-to-end sales order process, maintaining accurate data, and coordinating with other teams to ensure smooth operations.

Job Responsibilities:

  • Helpdesk Management: Ensure Freshdesk is updated, categorizing and managing tickets for effective action by the order processing team.
  • Order Processing: Handle incoming orders, including verifying pricing on purchase orders, inputting order details in webCRM, and coordinating the announcement of orders.
  • Follow-up Coordination: Set up recalls and follow-up activities for Installations and Order Fulfillment teams as needed.
  • Communication Management: Handle inbound and outbound calls/emails, manage team-shared mailboxes (Freshdesk), and maintain efficient communication with internal and external stakeholders.
  • Documentation Handling: File and maintain all order-related paperwork, ensuring it is well-organized and up to date.
  • Template Maintenance: Assist in updating email templates across languages and regions, ensuring consistent communication for orders, hold notices, and PBD requests.
  • Travel Coordination: Assist with travel arrangements for ITS employees as required on an ad hoc basis.
  • CRM Data Accuracy: Ensure that data in webCRM is always up to date and accurate.
  • Escalation Handling: Respond to queries from the order processing team, escalating issues when necessary.

You may also be required to carry out additional tasks and support other company functions as needed to adapt to market conditions and customer requirements.

Required Skills and Experience:

  • Communication Skills: Excellent communicator with a high level of proficiency in both written and spoken English.
  • Customer Care Experience: At least one year of experience in a customer-focused role is essential.
  • Organizational Skills: Strong organizational ability, attention to detail, and a good memory.
  • Self-Learning and Initiative: Ability to learn quickly, solve complex issues independently, and take initiative in challenging situations.
  • Team Player and Independent Worker: Able to work effectively both independently and as part of a team.
  • Time Management: Excellent timekeeping skills, with the ability to manage multiple tasks under pressure.

Desirable Skills:

  • Advanced Microsoft Office Skills: Familiarity with Excel and other MS Office tools is an advantage.
  • Software Licensing Knowledge: Understanding software licensing is a plus.
  • Language Skills: Proficiency in other European languages, such as Dutch, is an advantage.
